Project Administrator
An exciting opportunity has arisen for an experienced Project Administrator to join a family run, construction business based in East Kilbride. The right candidate will be able to work as part of a team and the business are looking to employ a permanent member of staff to start ASAP. Open plan, modern offices are within an excellent location. Offering you easy access by all public transport links, only 30 minutes from Glasgow City Centre. Monday – Friday, with Full Time Hours.

Candidates with the following experience will be considered:

  • Excellent Administration skills covering all Microsoft packages.
  • Ability to work under pressure with using your own initiative.
  • Great communication skills both, effectively within a friendly environment and helpful and informative within a professional manner.
  • Experience of a minimum of 3 years in the construction industry is desired but not essential
  • Ideally Emergency First Aid qualified. Again, not essential

You will be involved in the following duties:

  • Maintaining PPE supplies and preparing files for upcoming projects and distribution control of staff / sites.
  • Attend meetings, take minutes and distribute.
  • Supporting site mangers with filing i.e. continuous improvement / training.
  • Archiving documents and restoring where possible after projects complete
  • Prepare weekly progress reports.
  • Emails communications with clients, contracts team, professional services, local authorities, and supply chain as directed by the Coordinates Manager.
  • Manage the processes in accordance with client requirements: chasing, follow ups, collation of required information and compiling files and manuals for site and client portals – working to deadlines.
  • Issue client feedback documents to client and update client feedback trackers.
  • Assist with coordinating the weekly movements for all site labour and booking accommodation when required.
  • Preparing monthly reports for different areas of the business (Waste, near miss, AFR, KPI, client feedback)
  • Maintaining IT register and allocating equipment
  • Ensuring training is up to date and arranging where required
  • General admin duties dealing with telephone calls, receiving and directing visitors, creating spreadsheets and preparing documents, filing, franking mail, ordering equipment and supplies

Ideally you will be:

  • Self-driven.
  • Well organised and be able to multi task.
  • Be able to prioritise.
  • An understanding of the construction processes.
  • Have an eye for detail.
  • Have great relationship skills.
